A pursuit stops being a pursuit the moment the client decides. Closing it out converts a won project into committed capacity your planners can staff against, and clears a lost one out of the tentative view. Both keep the Tentative Plans toggle worth trusting in the next staffing meeting.
A proposal project has been awarded and the work is now committed
A pursuit was lost or shelved and its plans are still sitting in the tentative view
You are running a periodic review of open proposal projects
Confirm which plans are tentative. Open the Tentative Plans toggle in Workload or Planner and turn it on so you can see every plan attached to the pursuit before you change anything. 👉 See Display Settings
Know your active status value. Firms name it differently, so check what your account uses for work in progress.
Open the project and change the Status from Proposal to your active status.
Open each tentative work plan and clear the Tentative checkbox so the hours count toward committed capacity.
Replace any open roles with named members.
Compare the phase dates against the signed contract schedule and adjust them.
Turn the Tentative Plans toggle off and confirm the project's hours still appear. That tells you every plan converted.
If the awarded project also arrives in Mosaic from your ERP, confirm with your admin which record the team should use going forward. ERP-linked projects carry a green chain link icon, and projects created in Mosaic show without one.

Open the project and delete the tentative work plans, or
Archive the project so it drops out of active portfolio and Planner views.
Archive rather than delete when a shelved pursuit has a real chance of coming back, since it often returns with a new schedule.
Open your Proposals portfolio, or filter to projects with the Proposal status.
Work down the list and note which pursuits have been decided since your last pass.
Run the won or lost steps above on each one.
Once a month is enough for most firms. The review is what keeps the tentative view from filling up with pursuits that were settled a year ago.
Close out the same day you hear. Changing the status and clearing the tentative boxes belong together, so capacity reflects the win immediately.
Check the toggle after a win. Turning tentative plans off is the fastest confirmation that nothing was missed.
Keep pursuits in one portfolio. A dedicated Proposals portfolio makes the periodic review a single list instead of a hunt.
